Choosing a Botanical Extract Supplier: A South African Buyer’s Guide

Choosing a botanical extract supplier for South Africa starts with a clear purchasing brief: the ingredient, measurable specification, intended use, trial quantity and delivery destination. For a small supplement brand or ingredient distributor, those details help you compare offers that can actually serve the same project.

South African botanical ingredient supplier comparison: align the grade, review matching documents, link samples to the order and compare the full delivery scope.
Illustrative sourcing guide for South African buyers. Compare the named grade and delivered scope; supply arrangements, documents and terms are confirmed for the specific quotation.
  • Offered grade: align botanical identity, plant part, marker, analytical method and carrier.
  • Document match: review the specification, relevant COA and applicable certificate scope.
  • Sample to order: link the evaluated sample to the proposed commercial grade.
  • Delivered scope: compare packing, freight and any excluded import charges for a named delivery point.

This guide is for South African buyers evaluating local or overseas supply options. PHYTONIVA is a China-based ingredient sourcing and trading partner; supply arrangements for your destination are confirmed with the quotation.

Start with the grade your product needs

“Green tea extract” or “turmeric extract” is a starting point for an enquiry, rather than a complete specification. State which constituent you need measured, the target level and the analytical method. Also identify the plant part, physical form and any carrier restrictions. If your formulator has not finalized the specification, share the intended format and the questions that still need technical review.

  • Green tea extract: clarify whether you are specifying total polyphenols, catechins or EGCG, and state your caffeine requirements.
  • Turmeric extract: distinguish the requested curcuminoid assay from an extraction ratio and discuss dispersion requirements.
  • Ashwagandha extract: confirm the declared plant part, withanolide specification and assay method.

These are specification questions, not confirmation that a particular grade is suitable or authorized for your finished product.

Ask for documents tied to the offered material

Before ordering, confirm the specification, product identification, test methods, units and limits. For PHYTONIVA orders, the manufacturer Certificate of Analysis (COA) and agreed third-party test reports are supplied with the shipment. Match the accompanying documents to the material or batch and the agreed criteria.

When certification matters to your business, ask which manufacturer, site or product the certificate covers and check its validity. Keep the certificate and the proposed material identification together. Our quality documentation page explains the information to include in that request.

Separate sample approval from the first commercial order

Ask for sample availability and charges against a named grade. Define what your team will evaluate before requesting shipment, then record the sample identifier and findings. For the first order, confirm whether the commercial material has the same specification and what happens if the grade or composition changes.

A small brand can state a modest trial requirement without promising a large annual volume. Provide a realistic reorder estimate separately. MOQ, sample terms and price are quotation-specific; a lower minimum order is useful only if the offered grade meets your project needs.

Compare the complete delivered cost

Give the supplier a destination city or named delivery point, such as Johannesburg, Cape Town or Durban, and ask what the shipping quotation includes. Do not assume an airport or port quote includes delivery to your premises.

  • Material price, currency, quantity tier and quotation validity.
  • Packing, freight and insurance where quoted.
  • Import clearance, duties, taxes and local charges to confirm with your broker.
  • The event that starts the lead time and any document or inspection steps before dispatch.

Compare local and overseas quotations on the same delivered basis. A lower price per kilogram can lose its advantage when fixed shipment costs are spread across a small trial order.

Check the South African route for your finished product

SAHPRA publishes official guidance for complementary medicines. Use its official guidelines as a starting point with the person responsible for your product’s classification and regulatory review. A raw-material COA does not establish authorization of a finished supplement or its claims.

Questions buyers often ask

Can I request a sample before committing to the MOQ?

Ask for the sample quantity, cost and shipment conditions separately. Confirm that the sample represents the grade proposed for your commercial order.

Does an overseas supplier quote include South African import charges?

Only if those charges are explicitly included. Ask for the named delivery point and exclusions, then reconcile the quotation with your broker’s estimate.

Send a specification-led enquiry

Copy this brief into your enquiry: ingredient; target assay and method; application; sample need; trial quantity; destination city; required documents; target purchasing date.

Sourcing coordination and quality checks

PHYTONIVA manages trade, sourcing and supplier coordination, matching ingredients and supply options to your specification, application and destination. The manufacturing partner provides its COA and relevant quality documents. Before procurement and dispatch, we arrange independent third-party quality testing and obtain the report for the agreed testing scope.

Specifications, sampling, test scope, methods and acceptance criteria are agreed before ordering. The manufacturer COA and agreed third-party test report accompany the shipment. Certification is checked separately for the named holder, product and valid scope.
