Botanical extract FAQ: what B2B buyers ask before ordering
This botanical extract FAQ covers the questions we answer most often from supplement brands, beverage formulators, cosmetics manufacturers and trading companies. Before you send a request for quotation, read through the sections below on product specifications, minimum order quantities, samples, documentation and logistics. If your question is not listed, send it to sales@phytoniva.com and our team will review the requirements and confirm the next steps.
For most buyers the botanical extract FAQ starts with three practical questions: can you match my specification, what is the minimum order quantity, and what documentation will I receive with each batch. The answers below explain how PHYTONIVA handles each one, so you know what to expect before your first enquiry.
What should a first-time buyer prepare?
First-time buyers should prepare a short ingredient brief that names the botanical, the plant part, the target extract ratio or active marker, the application, and the annual or per-order quantity. This information helps us assess the request; specification, MOQ and lead time are confirmed after reviewing the proposed supply option. The more specific your brief, the more accurate your botanical extract quotation will be.
Can I request a quotation with several specifications at once?
Yes. Send two or three target specifications for the same botanical and we will assess which variants can be quoted, with MOQ and packing confirmed for each available option.
How does PHYTONIVA arrange third-party testing?
As part of purchasing and pre-dispatch quality checks, PHYTONIVA commissions independent third-party testing and obtains the laboratory report. We agree the sample or batch, test items, methods and acceptance criteria before testing, along with sampling, fees and timing. The report covers the tested sample and stated items; it does not mean that every possible indicator has been tested or that the product is certified. Any separate factory audit requires its own access and scope arrangements.
What certificates are available for export markets?
Specify any Halal, Kosher, organic or other certification requirements. We will check available documents for the proposed source. Coverage depends on the named holder, product, site, scope and validity; confirm suitability for your intended market before ordering.
How is pricing structured for repeat orders?
Repeat orders at the same specification and volume are quoted at the prevailing rate, with price validity stated on each quotation. We will confirm any raw material market movement at renewal.
What should I include in an enquiry?
Ingredient or botanical name, plant part, target specification, application, estimated quantity, destination and required documentation. A specification sheet is a useful starting point.
What is the minimum order quantity?
MOQ depends on the ingredient, specification and supply option. Include your target quantity so the applicable MOQ and packing can be confirmed in your quotation.
Can I request samples?
Yes, include your sample requirements in the enquiry. Availability, quantity, cost and shipping arrangements must be confirmed before dispatch.
When are the COA and test reports supplied?
Before ordering, agree the technical specification and testing requirements for the selected material. The manufacturer COA and agreed third-party test reports are provided with the shipment. Certification documents are issued by the relevant certification body and apply only to the named holder, product or facility within their scope and validity. PHYTONIVA separately commissions third-party testing and obtains the resulting report; these three document types are not interchangeable.
What are the lead time and shipping options?
Lead time depends on availability, quantity, processing and destination. Shipping terms and any export documentation requirements are agreed with the quotation.
Do you support custom specifications or packaging?
Send the specification or packaging details you need. Feasibility, MOQ and costs are assessed for the particular request.
How do I confirm suitability for my market?
State the destination and intended application early. Your team should review the ingredient and supporting documents against the requirements applicable to the finished product.
Where should I send my sourcing brief?
Use the contact form or email sales@phytoniva.com. Include your company and contact details so we can respond to your request.
